Established in 1950, the New Zealand Orthopaedic Association (NZOA) is the professional body for Orthopaedic Surgeons in New Zealand “promoting excellence in patient care and advocating for the needs of patients with orthopaedic conditions”.
NZOA are now seeking an experienced and creative Conference and Events Manager to join their small and friendly team based in Wellington.
Reporting to the Chief Executive, you will be responsible for all aspects of planning and organising conferences, meetings and events for the organisation. Essentially, you will be managing all operational, implementation and post-event activities, which will include:
- Developing and maintaining a calendar of events and implement a system that enables long term planning and effective event management
- Liaising with key stakeholders including sponsors, industry players, suppliers, speakers, conveners, Council members, delegates, subcontractors and internal staff
- Source venues and caterers, acquire technology and coordinate materials to execute quality events (such as engaging with hotels, audio visual and exhibition suppliers)
- Coordinating registration for events
- Arranging travel for domestic and international travel (both ground and air)
- Maintain accurate attendees and participants records
- Produce print material for events and meetings including participants pack and papers, and develop event programmes and reports for distribution
- Develop annual event budget and sub-budgets for each event
- Ensure health and safety obligation are adhered to
There are 2x part time positions available, and depending on your preference the hours of work are between 10-20 hours per week with flexible working arrangements and some weekends required. This role is based in Wellington and there will be some travel required.
To be considered for this role, you will be an experienced Conference and Events Manager with strong organisational skills as demonstrated by previous successful conference and events management. Strong interpersonal skills, an eye for detail and the ability to work collaboratively within a team are essential.
Person Profile: - Proven experience working in an Events Manager role or similar
- Highly developed interpersonal and communication skills with the ability to work effectively and confidently with a wide range of people
- Strong relationship building capabilities and interpersonal skills
- Ability to manage multiple tasks and prioritise deadlines and workload
- Excellent negotiation and financial/budgeting skills
- Sound analysis, problem solving an decision making skills
- Flexible approach to work with an ability to adapt to change
- Willingness to undertake travel when required
- Strong computer literacy and proficiency in MS Office Suite
- Experience using EventsAir software or equivalent
